During my first month at Corexcel, I was assisting one of our clients with generating profile reports from recently taken Everything DiSC Workplace assessments using our EPIC account. Our client had sent out assessments to 30 different participants, and completed reports were trickling in here and there. Then, right before their assigned deadline, at least 15 came in within a few minutes of each other. I was able to send the completed reports to my contact, but it was a little bit tedious to generate and email each report, one by one. I thought to myself, “Wouldn’t it be convenient if we were able to generate a group of profile reports at one time?” While the new Batch Function was not my idea (Love Windows 7 commercials!), I have had the opportunity to try it out, and I find it to be a very useful tool that has simplified generating multiple profiles at once!
Time Saver!
Prior to this new function, you were able to import as many participants as you’d like to take the assessments, but you had to generate each completed report individually. Now, you can search for a specific group of reports, for example, DiSC Classic Profiles and generate all of them at once. This proves to be especially great for clients who are conducting a training session and have had a few last minute sign-ups or participants complete the reports after the assigned deadline.
Generating Reports is more convenient.
Once you have requested the appropriate reports to generate, EPIC gives you an estimated time of completion and notifies you when your batch is ready. Log in to your account, view the completed batch profiles and download them to your computer. That simple.
Emailing reports is quick and easy.
EPIC gives you a great option of emailing completed reports right through their system. While this cuts down on time, it can be a bit time consuming when having to email a large number of completed reports, one by one. When you’d like to send several completed reports at once, you can use the Batch function. The profiles are generated and saved into a compressed (WinZip file) as PDF’s. Since the profiles have been compressed in size (but not content) you can send them directly from your email address without worrying about the size of the message.
Helps keep you organized.
Previously, we had to download and save each completed report, one at a time. Downloading one batch file rather than 10 individual files means that all of the reports end up in the same folder, helping to keep things organized. You can also rename your folder and save it anywhere on your computer or flash drive.
Reports are easily identified.
The new batch feature not only creates a folder full of your profiles, but also names each report PDF by participant name and access code. This has certainly come in handy for me when having to resend profiles to clients; rather than generating a new report, I simply find it in my folder. It also reduces the amount of errors when sending reports to your supervisor – you will be sure you’re sending the right employee’s report, the first time.
Overall, I give batch function an A+. It is a great tool to add even more convenience to the already handy and user-friendly EPIC account. For those of you who may be hearing about EPIC for the first time, it is an online system which gives you 24/7 access to your “EPIC Credits,” the currency used to generate online profiles. You can send out assessments, track and generate completed reports and run group reports. You can also customize emails to send to your group including specific pre-work deadlines, background information or even photos. You also have the option of customizing reports to include your company logo and contact information. For a consultant or organization looking to implement online profiles for clients or employees, the EPIC account can be a great tool to simplify the process and keep your logo in front of your clients.
